Best cold email software: how to choose in 2026

Most "best cold email software" lists rank tools by how many features they have. That's the wrong test. The best cold email tool for you is the one that fits how many people you email, how personal those emails need to be, and how much setup you're willing to do before the first one goes out.

I build cold email software, so I spend a lot of time reading other tools' pricing pages, help articles and sign-up flows. This guide is the checklist I'd hand a friend who asked me which tool to pick. It works for any product, ours included, and near the end I run one well known tool through it as an example.

First, be honest about your volume

Cold email tools are built for very different people, and the price structure tells you who they had in mind. A rough way to sort yourself:

The 8 questions to ask any cold email software

1. Is AI writing included, or paid per email?

Many tools now write or personalize emails with AI. Some include that in the plan. Others charge for it through credits, a second subscription you buy on top of the sending plan, where each contact uses part of a credit. Neither model is wrong, but they cost very different amounts once you multiply by your list. Ask what one AI written email costs, and whether reading the contact's website counts as a separate charge. Our cold email software pricing guide works through the numbers.

2. How many contacts can you upload, not just how many emails can you send?

This catches a lot of people. A plan can allow thousands of emails a month but only a small number of uploaded contacts, because the emails include follow-ups to the same people. If you want to reach 3,000 new people a month, check the contact limit, not the email limit.

3. Can you send from the inbox you already have?

High volume platforms usually expect you to buy extra domains, set up new mailboxes and warm them up for a couple of weeks before sending. That's sensible at 50,000 emails a month. At 500 it's a lot of work and cost for little gain. If you're small, look for a tool that connects your existing Gmail or Outlook and keeps you under a safe daily limit instead.

4. Do you approve emails before they go out?

With AI writing every email, you want to read them first, at least at the start. Check whether you can review and edit each draft, send them one by one, or approve the whole batch in one click. It also helps if you can give the AI a structure to follow, such as one of our cold email templates, so every draft has the shape you want before you even open it.

5. Do follow-ups stop when someone replies?

Most replies come after a follow-up, so you want them. But a follow-up sent to someone who already answered is embarrassing. Ask how replies are detected for your type of inbox, and whether follow-ups are written for each person or are one text for everyone. 6. Can it write in your contacts' language?

If you sell to Brazil, Spain or the Gulf, emails in Portuguese, Spanish or Arabic get read. Some tools only translate the interface, not the emails. Check whether you can set a language for the whole campaign, and for each contact.

7. How do you pay, and does it renew by itself?

Most tools bill monthly by card and keep renewing until you cancel. That's normal, but it's worth knowing before you sign up, especially if your card doesn't allow recurring charges or you only need a tool for a few months. Also check whether credits expire if you don't use them.

8. Does it protect your domain?

Good cold email software limits how many emails each inbox sends per day, spaces them out, adds an unsubscribe link, never emails someone who opted out, and checks addresses before sending so you don't rack up bounces. These sound boring. They're what keeps your normal email out of spam. Read that way, Instantly is built for teams sending at volume: unlimited inboxes and warmup are real strengths if you're running many domains. When we asked Instantly's own support assistant in October 2026, it told us the product isn't a good fit for people sending under 500 emails a month. If you're in that group, or you mainly want each email written for one person, the AI credits and the 1,000 contact limit are the two lines to look at closely before you decide.
