Cold email software pricing: what you really pay for

Cold email software pricing looks simple until you add up what you actually need. The headline number is usually the sending plan. AI writing, contact limits, extra inboxes and domains often sit somewhere else on the page, or on a different bill.

I run a cold email tool, and when I compare our pricing with other tools, the hard part is never the headline number. It's working out what a month really costs once everything you need is added. This guide breaks the price into its parts, uses Instantly's pricing as a worked example, and ends with a calculator you can fill in with any tool's numbers. The five costs behind the price tag

1. The sending plan

This is the number on the pricing page: how many emails you can send a month, often with a cap on how many contacts you can upload. Remember that follow-ups count as emails. Reaching 1,000 people with a first email and two follow-ups can use up to 3,000 emails.

2. Contact limits

Some plans let you send plenty of emails but store only a small number of contacts. If your list is bigger than the limit, you're pushed to the next plan even though you're nowhere near the email limit.

3. AI writing and research

This is where prices differ the most. Some tools include AI in the plan. Others sell it as credits on a separate subscription, and each AI written email or website lookup uses part of a credit. Credits can also expire if you don't use them in time. If you want every email personalized, this line can cost as much as the sending plan.

4. Inboxes, domains and warmup

To send more per day you need more inboxes. Large senders usually buy extra domains, pay for a mailbox on each one, and warm them up before use. That's a cost of its own, paid to your email provider and domain registrar rather than the cold email tool. If you send a few hundred emails a month from your normal inbox, you can skip it.

5. Lead data and seats

Some platforms also sell contact data (finding and verifying email addresses) and charge per team member. If you already have your list and work alone, as most freelancers and consultants do, you don't need either, so make sure you're not paying for them inside a bundle. So for one person sending an AI researched email to 1,000 new contacts a month, Instantly pricing comes to about $94 a month: $47 to send and $47 for the credits. That price also buys warmup and unlimited inboxes, which matter if you run many domains and matter much less if you send from one or two inboxes.

The calculator only compares the two pricing styles. It doesn't count what each price includes beyond sending and AI, such as warmup, lead data or extra inboxes, so add those if you'll use them.

Is there free cold email software?

A few tools offer a free plan, but free plans rarely let you send real campaigns, and the ones that do usually send a template with names filled in. A low sending price can end up the most expensive option once AI and a higher contact limit are added. Put your own numbers in the calculator, and compare the total, not the headline.
